Getting started

How do I get started?

Request a route assessment — we scope the route before we promise anything, and no patient information is needed to begin. For recurring work we set up a standing route and execute a Business Associate Agreement before any protected health information moves.

Is there a contract or minimum?

Terms are set in the proposal that follows your assessment — scoped per facility. We do not publish standing contract or minimum terms because none is offered as a fixed public commitment yet.

How fast can you start?

Vitalis is standing up its Charlotte medical-courier service. Today the first step is a route assessment; the timeline to a live route is scoped in your proposal, after onboarding and a signed agreement.

Coverage & service

Where are you launching?

We are launching in the Greater Charlotte metro. Our initial assessment area includes Charlotte, Concord, Gastonia, Matthews, Huntersville, Pineville, and Rock Hill — the places we are scoping routes in, not places we already cover. Ask us about your facility.

What can you transport?

The service is built for lab specimens, blood products, pharmaceuticals and infusions, medical records, and medical equipment. Vitalis is a non-emergency clinical courier — we do not transport patients.

Do you offer STAT / emergency runs?

STAT-priority dispatch is part of the service model: it is built to interrupt an in-progress route and drive straight to you, tracked against an SLA clock from the moment you request it.

What hours will routes run?

Standing routes are built to cover the windows a facility needs, including nights and weekends. Hours are scoped per route in your assessment — we do not run a live dispatch operation yet.

Custody, cold chain & compliance

How do you maintain chain of custody?

The platform logs every transfer who-to-who with a signature, timestamp, tamper-evident seal number, and GPS. A complete custody manifest is available on demand for a shipment.

How do you handle cold-chain shipments?

Four validated lanes — ambient, refrigerated, frozen, and ultra-frozen — with temperature logged at each handoff and compared against the specimen’s stability window. Ultra-frozen ships on dry ice with correct hazard marking.

Are you HIPAA compliant? Will you sign a BAA?

Vitalis operates as a Business Associate; a BAA is executed before any protected health information is handled. PHI is handled minimum-necessary: identifiers are masked by default and unmasked access is role-gated and audited.

What happens if there’s a temperature excursion or delay?

The platform captures it as an incident with a severity, owner, and escalation path. When service is active you are notified per your agreement, corrective action is recorded, and nothing is closed without a documented root cause.

Pricing & tracking

How is pricing determined?

Coverage is priced per month, scoped to your routes in an assessment — distance, stops, frequency, and handling. We do not publish a fixed monthly figure yet because none has been ratified as a public price. See our coverage plans for the plan types.

Can I track my shipment?

The platform issues a tokenized tracking link per requesting site — no login required, and it only ever shows that one shipment.

How will billing work for recurring routes?

Standing-route billing is monthly against the schedule set in your agreement; overflow and one-off work is quoted separately. Billing terms are scoped in your proposal, not published as a standing offer.
